AI Response Generator

A longer reply you can steer: set the tone, the points to hit, and the length.

How it works

What is the AI Response Generator?

The AI Response Generator is a free tool that drafts a response to a message someone sent you. You paste the message, list the points the response must make, pick a tone and set a target length between 50 and 500 words. The tool writes one draft, which you copy, read and edit before you send it.

How to use the AI Response Generator

  1. Paste the whole message into The message you are responding to, including the parts you would rather not answer.
  2. List the Points it must hit, one per line, such as "Offer a call next week". This field is optional, but it is the one that decides what the draft says.
  3. Pick a Tone, then set the Target length in words anywhere from 50 to 500. It starts at 150.
  4. Press Generate response. The draft appears under Your Generated Reply. If you are not signed in, press Sign up free to unlock to reveal it.
  5. Press Copy text, then read the draft as the person receiving it before you send it.

How do you respond to a message so nothing gets missed?

Read the whole message before you answer any of it. Most bad responses are not badly written. They answer the wrong thing. A message often carries more than one item: a question, a request, and something the sender is annoyed about but did not ask about directly. A response that picks up only the explicit question reads as evasive even when it is accurate.

So paste the whole message. A draft written against half a message answers half of it, and the half it drops is often the half the sender cared about.

What should the key points in a response be?

Key points are the things the response must say, written as short instructions. The tone changes how the draft sounds. The points change what it means. The model is told to address every line you enter, so treat the list as commitments rather than suggestions.

The list is also where you set what the response must not do. "Do not commit to a date" is a key point. So is "acknowledge the delay without accepting fault". A tone setting alone cannot make either decision for you.

How long should a response be?

Long enough to carry what it has to say, and no longer. A short target leaves little room to both acknowledge the message and answer it, and the acknowledgement is usually what gets cut. A long one starts explaining itself, and the reader skims.

Set the number for the job. A refusal that needs a reason runs longer than a confirmation. The length is a target, so the draft lands close to the number you set.

Apologetic or empathetic: which tone should you pick?

Pick Empathetic unless you mean to admit fault. Apologetic concedes that something was your fault. Empathetic acknowledges that the sender is frustrated without conceding anything. In a billing dispute, or anything a lawyer might read later, that is the whole difference.

The other tones split the same way. Assertive states a position and stops. Direct removes the hedging but keeps the position. Formal changes the vocabulary and sentence length without changing either. Choose for your relationship with the sender, then read the draft as if you were them.

Questions

How do I respond to a customer complaint?
Respond to a customer complaint by answering every point in it, saying what happens next, and admitting fault only where you have confirmed it. In this tool, paste the full complaint, list what you will do as key points, and pick Empathetic rather than Apologetic unless the fault is yours.
Is it bad to use AI to write emails?
Using AI to write emails is fine as long as you read and edit every draft before it goes out. The sender is still you, so anything the draft gets wrong or promises is yours to stand behind.
Can people tell when you use AI to write emails?
People often can tell when an email was written by AI, usually from an opening line that restates their message back to them and from stock phrases. Deleting that first sentence and adding one detail only you would know removes most of the tell.
What is the difference between a reply and a response?
In everyday writing, a reply and a response mean the same thing. On hyperank, the AI Response Generator is steered by the points it must make and a word count, while the AI Reply Generator is steered by your instructions and the platform the reply will be posted on.
Is the message I paste stored?
hyperank does not save the message you paste. It is used to write your draft. As with any online tool, remove account numbers and personal details before you paste anything from a real customer.
